Sailpost S.p.A. is an Italian postal operator with headquarter in Pisa, Tuscany. Its postal network counts 140 agencies and over 230 collection points all over the country and it is considered the most important postal operator in franchise in Italy. Furthermore, it is the only real alternative to the Italian public postal operator “Poste Italiane” for what concerns the special national license for judicial acts and penalties. Nevertheless, it could not get away with the difficulties that are related to traceability and simplification of internal business processes. Let’s see specifically what kind of complications Sailpost had to face.
The first problem was to track all the registered mail, packages, and letters delivery. As a matter of fact, there was not a specific software that could help to follow the path of these goods and for this reason it was very arduous to promptly intervene in case of inconvenience. Being able to track goods along the shipment allows you to save a lot of time and, above all, a lot of money.
The second obstacle concerned the claims for damage management. Once again, due to the lack of control of operations, company’s intervention to accidents or damages was never timely and this caused various complications with customers. As a result of this, clients were often not satisfied and this made worse the customer care which, as we know, is significantly important to have a high brand reputation.
In the end, the third problem that Sailpost had to face was the widespread control on its delivery men. The company did not have a clear and immediate feedback of their activities, so it was particularly complicated to manage them and offer the best possible service.

The first problem was solved with the use of TDox tools which can guarantee to track all the shipments in real time. Actually, delivery men have the possibility to read barcodes thanks to the integration of TDox with the camera of their mobile device and they take pictures of goods in case of damages or anomalies with their smartphone or tablet, so the delivery proof will be more precise and detailed. Add to this, there is the digital signature tool which is helpful to certificate once more the goods delivery. These two tools are digital that means that as soon as goods are delivered, the company receives immediately an update with all the information regarding the material and the proof of delivery. A significantly boost that allowed Sailpost to improve of 95% its deliveries.
The second problem was solved by eliminating paper and using digital data. In fact, by using TDox dashboards it is possible to control every shipment and to intervene in case of delays, or disruptions. Thus, claims for damages were reduced and Sailpost can assure a better service to its customers.
To solve the last issue, that is the widespread control on the delivery men, TDox put at the disposal of the postal operator an important tool: the agenda. This agenda is not only useful to plan activities and operations, but it represents a point of reference for all the Sailpost’s delivery men. Hence, they daily find the list with all the deliveries they have to do during the day, and they receive notifications regarding urgencies, or schedule changes without using dispersive instant communication tools which can create confusion. Additionally, with the aid of GPS coordinates that can be obtained from delivery men’s mobile devices, Sailpost can ensure where its operators are and manage the various shipments.
In the end, in order to avoid any disruption, TDox can be also used offline. What does it mean? Basically, that its engine is native offline, so it is set on the mobile device. Indeed, if the delivery men are delivering material in a place where connection is low, they can do it without problem and without any speed complication. There is no more fear of losing all data, because they just have to synchronize data as soon as they get access to an internet connection. Another solution that allowed Sailpost’s delivery men to work better.
